Citizens Advice 1066 (CA1066) is looking for a reliable and organised Administrative Officer to provide essential support across our services. This role is crucial for maintaining effective and efficient systems for appointments, paperwork, and monitoring, ensuring the smooth running of our advice services.
The Role: Maintaining Efficient Systems
The primary purpose of this role is to provide dedicated administrative support and ensure that systems for client appointments, records, and monitoring are accurate and efficient. This is a practical, office-based role requiring attention to detail and strong organisational skills.
Key Areas of Responsibility:
• Administrative Support (Approx. 50%): Deliver an efficient general administrative service, including mail management, filing, scanning, and diary management. Staff the office reception, welcoming clients and visitors, answering phone lines, and supporting clients in accessing our services across all channels (phone, email, web, in-person). Assist the senior management team with tasks like setting up meetings, processing referrals, and dealing with contractors/procurement.
• Data Processing and Maintenance (Approx. 40%): Systematically collect and collate information related to clients from various sources (IT systems, emails, manual records). Accurately record and maintain client data in CA1066 IT systems, produce necessary statistical reports, and assist advisers and managers with data access and processing.
• Other Responsibilities (Approx. 10%): Abide by health and safety guidelines, promote the integrity of the organisation, and carry out other administrative and support duties as required, including attending occasional home visits.
Position Details
Salary: £24,102.84 (based on 37 hours per week)
Hours: 37 hours per week (Full-time), Permanent contract. Part-time hours may be considered.
Annual Leave: 23 days per year (pro rata for part-time), rising to 25 days after 4 years’ service. Time Off In Lieu (TOIL) is provided for additional hours worked, subject to line manager agreement.
Location: Office working across the St Leonards-on-Sea and Bexhill-on-Sea Citizens Advice offices.
Reports to: Chief Officer, Operations Manager, and Project Manager
