We are a small charity looking for a clerk for our Board of Trustees and wider team within Rother Voluntary Action. The successful candidate will have excellent organisational and written communication skills as well as being computer literate, and friendly.
On average 10 hours per month to cover
• Board of Trustee meeting including preparation work, attendance and writing minutes. There are generally 4 meetings per year plus the AGM.
• Attend the Annual General Meeting for the purpose of minute taking.
• Monthly Senior Leadership Team meetings including preparation work, attendance and writing minutes. There is 1 meeting per month.
• RVA Staff Team meetings including preparation work, attendance and writing minutes. There is 1 meeting per month.
Responsible for: Organising Meetings, Preparing Agenda, Minute recording, maintaining records of the same, and booking venues.
Main Duties
• In advance of each meeting ask Chairman, Treasurer and Manager for any items they want included on the Agenda.
• Organise meeting if it is going to be on a virtual platform, but most meetings are in person at locations in Bexhill or Ashburnham.
• Prepare Agenda and ask for relevant reports
• Circulate Agenda and Reports at least 7 days before meeting
• Attend meeting and take minutes (meetings will be at our office or online)
• Draft minutes and send for approval, make changes if necessary
• Circulate and file minutes online
• Keep copy for Chairman’s signature and file in office.
• To keep all documents up to date and organised online using the shared drive and on file as necessary.
